Rules and Regulations for workshops and courses offered by the Syrena Theatre
1. General provisions
The Regulations specify the rules and conditions of participation in:
workshops – understood as a series of meetings within a specific time period, which the Participant can join before the first meeting, and the fee for the classes covers the entire series;
courses – understood as meetings taking place throughout the year, for which the participant can register at any time, subject to availability, the fee for classes is paid in the form of a monthly pass (hereinafter collectively: “workshops/courses”);
Workshops/courses take place in the Theatre building located on Litewska 3 in Warsaw (entrance next to gatehouse on Litewska 3 street).
Workshops/courses are held on dates indicated on the Theatre website: https://teatrsyrena.pl/warsztaty/ (hereinafter “website”) and in social media.
The organizer of workshops/courses is the Syrena Theatre located in Warsaw on Litewska 3 street, operating as a local government artistic institution, entered into the Register of Artistic Institutions under the number RIA/108/85 (hereinafter: “Organizer” or “Theatre”).
The program for each workshop/course and their scheduleis available on the website.
Workshops/courses are subject to payment, and the cost of participation is indicated each time in the information posted on the website.
2. Registration for workshops/courses
The participant of workshops/courses may be:
in the case of workshops/courses for adults – a natural person who is an adult and has full legal capacity on the date of registration;
in the case of workshops/courses for children – children aged 5 to 18 (hereinafter collectively referred to as the “Participant”).
The number of places in groups is limited, and admission is based on the order of applications.
The theatre publishes information about recruitment for workshops/classes on the website and in social media.
In order to participate in workshops/courses, the Participant, or in the case of children a legal guardian of the Participant (hereinafter: “Legal Representative”) is required to:
to inform about interest in participating in courses to the following address: rekrutacja@teatrsyrena.pl;
after receiving feedback from the Theatre and confirming the reservation of a place, completing and returning the online application form and paying for participation;
to read the Rules and Regulations and accept the Rules and Regulations by submitting the following declaration on the application form: “I confirm that I have read the Rules and Regulations of workshops and courses at the Syrena Theatre and accept their content”.
The purchase will be confirmed by an invoice or receipt issued by the Theatre.
The Participant/Legal Representative should indicate his/her desire to receive an invoice before paying for the workshops/courses.
If payment is not made within the specified period, the reservation expires.
The theatre regularly updates information about the lack of available places for workshops/classes on the website.
The Theatre reserves the right to limit the number of places in a group or close the list of participants of workshops/courses.
In the event of a small number of applications, the Theatre reserves the right to cancel workshops/courses. The Participant/Legal Representative who paid for the classes will receive a refund of the amount paid.
The Theatre has the right to refuse participation in workshops/courses in the event of:
failure to meet the formal conditions for reporting specified in these Rules and Regulations;
for failure to comply with the provisions of the Rules and Regulations;
when there are no available places, in which case the person making the application will be notified immediately.
If the Participant resigns from the workshops/courses, the fee paid will not be refunded.
The Theatre reserves the right to cancel workshops/courses without the need to set alternative dates and provide reasons for cancelling workshops/courses, in the event of force majeure, understood as a circumstance beyond the Theatre’s control, which the Theatre could not predict or oppose or counteract, including illness of the person conducting the workshops/courses. In such a case, the fee will be refunded in proportion to the number of workshops/courses that did not take place.
3. Rules for participation in workshops/courses
The participant of the workshops/courses should arrive at the Theatre on the day of the workshops/courses at the designated place and time indicated in the information sent to the Participant/Legal Representative before the start of the workshops/courses.
Participants are obliged to comply with the occupational health and safety and fire protection rules applicable in the Theatre, including those regarding moving around the Theatre building, as well as to follow the instructions of persons responsible for ensuring safety in the Theatre and other persons from the Theatre staff.
The Theatre does not cover any costs for participants of workshops/courses, including travel, accommodation and meals, and is not responsible for lost items.
Workshop/course participants are not covered by personal accident insurance.
The Theatre is not responsible for any injuries or accidents of the Participant.
The participant has no right to “make up” for workshops/courses in which he or she was unable to participate.
The participant cannot:
film, record or photograph workshops/courses; unless the Coordinator and other Participants consent, and the consent covers only activities for personal use, without the right to share recordings/photos;
be under the influence of alcohol or psychoactive substances during workshops/courses;
bring food into the room.
Participants are obliged to respect the rights and dignity of representatives of the Theatre and other participants of workshops/courses.
The Organizer reserves the right to remove from workshops/classes a Participant who:
violates the provisions of these Rules and Regulations;
will disrupt the course of workshops/courses;
will act contrary to the instructions of the Theatre representatives.
Legal Representative who cannot pick up a child from workshops/courses is obliged to provide the Coordinator with an authorization to pick up the child, the template of which is sent in the booking confirmation. In exceptional situations, the Legal Representative may send the authorization via SMS to the Coordinator’s number provided on the website.
If the child consents to return from classes on his or her own, the Legal Representative is obliged to submit a written declaration to the Coordinator.
The Legal Representative is obliged to pick up the child on time at the end of the workshops/courses.
4. Image and rights to artistic performance
By signing the application form and rules and regulations, adult participants grant permission for the use of their image and name and surname in all activities of the Theatre related to informing, advertising, promoting workshops/courses or the activities of the Theatre, including in particular on radio and television, the internet, all materials published in print, in large-format outdoor advertising, in the form of photos, posters, in the form of inserts for publications, magazines, newspapers, editions of audio or audiovisual media, performances or their fragments, including views, public distribution, as well as in other promotional activities or advertising workshops/courses organized by the Theatre.
In the case of children, permission to use their image and name and surname in all activities of the Theatre related to informing, advertising, promoting workshops/courses, or the activities of the Theatre in the scope indicated in point 1 above are expressed by their Legal Representatives in the application form.
The Participant/Legal Representative may raise an objection to the inclusion of his/her image and its dissemination as well as the rights to artistic performance as part of the role entrusted during the workshops/courses in the Theatre’s promotional materials and in materials created as part of the workshops/courses.
5. Processing of personal data
Data Administrator. The controller, i.e. the entity deciding on the purposes and means of processing personal data, is the Syrena Theatre in Warsaw, Litewska 3 street, 00-589 Warszawa (hereinafter referred to as the “Theatre”). The Theatre is the Controller within the meaning of the provisions of the Personal Data Protection Regulation (hereinafter “GDPR”).
Obtaining information about the processing of personal data. In matters related to data protection, you can contact the data protection officer of the Theatre by writing to the e-mail address: iod@teatrsyrena.pl or to the following address: Teatr Syrena w Warszawie, ul. Litewska 3, 00-589 Warszawa with the note “IOD”.
Purposes and legal basis for the processing of personal data. The Administrator processes personal data in order to prepare, conduct and implement workshops/courses on the basis of these Rules and Regulations (legal basis: Art. 6 sec. 1 let. b of the GDPR), and to fulfil the obligations imposed by law, Art. 6 section 1 letter c of the GDPR (in particular: tax regulations regarding the issuance of VAT invoices and settlement of amounts due), admission of a child to workshops/classes and proper care of him/her (legal basis: Art. 6 sec. 1 let. a of the GDPR and Art. 9 sec. 2 let. a of the GDPR, i.e. consent expressed by the Legal Representative, scope of data processed: name and surname, age, health data), collection of the child by a person authorized by the Legal Representative (Art. 6 sec. 1 let. f of the GDPR, i.e. legally the legitimate interest of the Administrator, which is the ability to pick up the child), as well as to establish and pursue claims or to defend against such claims (legal basis: Art. 6 sec. 1 let. f of the GDPR, i.e. the legitimate interest of the Administrator, which is to take actions related to claims). The Administrator will use film/photo documentation taken during workshops/courses for promotional purposes. The use of the image results from the legitimate interests pursued by the Administrator, which is the promotion of his own business (Art. 6 sec. 1 let. f of the GDPR), a workshop/course participant may object to the recording and use of his image for this purpose.
Obligation to provide personal data. Providing personal data in the case of conducting workshops/courses is voluntary, however, it is a condition for participation in the workshops/courses, and in the case of fulfilling obligations imposed by law, it is a statutory requirement and is obligatory.
Information about the recipients of the Participant’s personal data. Recipients of personal data may include, in particular, IT system providers, entities providing IT support services, hosting and e-mail services, and advisors, including legal advisors, as well as entities to which data is transferred on the basis of separate regulations in order to fulfil the legal obligations imposed on the Administrator.
Personal data processing periods. The period of storage of personal data by the Theatre depends on the purpose for which the data was obtained. The data will be processed:
for a period of 30 days from the date of conducting the workshops/courses, and after that period for the period provided for by law or for the period of limitation of any claims or until the Legal Representative withdraws consent;
until an effective objection is submitted – use of personal data of persons authorized to pick up the child and the image.
Profiling and automated decision-making. Personal data will not be subject to profiling. The Organizer will not make automated decisions in the processing of personal data.
Rights of the data subject. In connection with the processing of personal data by the Organizer, you have the following rights: the right to withdraw consent, the right to access personal data, including the right to obtain a copy of this data, the right to request rectification (correction) of data, the right to request deletion of personal data, the right to request restriction of the processing of personal data, the right to transfer data to another data controller, the right to object to the processing of personal data. The right to withdraw consent at any time can be exercised by sending a request to iod@teatrsyrena.pl.
The above rights can be exercised by submitting an application in the manner and to the addresses indicated at the beginning (Obtaining information on the processing of personal data). The scope of each of the above rights and the situations in which they can be exercised are determined by law. Possibility to use some of the above permissions may depend on, among others, the legal basis, purpose or method of processing.
The right to lodge a complaint with the supervisory authority. If you believe that the processing of personal data by the Organizer violates the provisions of applicable law, you may submit a complaint to the supervisory authority – the Office for Personal Data Protection.
Transfer of personal data to entities outside the European Economic Area (“EEA”) or international organizations. The Organizer does not plan to transfer personal data to entities outside the EEA or to international organizations.
6. Final provisions
The Rules and Regulations are posted on the website and are also available at the Theatre.
